We are seeking a Receptionist to provide a professional front of office reception service to both employees and guests in the CNA Hardy corporate head office London. Provide administrative support to the Executive Assistant (EA) team as required.

This role is based in the office 5 days per week. Core working hours 08:45 – 16:45

Key Responsibilities

  • Greet and welcome guests as they arrive at the London Office, ensure friendly and speedy hand-off of guest to EA’s or colleagues.
  • Answering or reception telephones, effectively transitioning callers to appropriate contact points.
  • Liaison point for London building office entry reception to effectively and quickly resolve any guest or employee entry issues.
  • Manage the presentation of the Reception area and meetings rooms, escalating issues or concerns to facilities to resolve as required.
  • Daily check that meeting room and IT equipment is functional, escalating issues or concerns to IT to resolve as required.  Ensuring IT are on hand to resolved all Board-room technical problems promptly.
  • Maintain general issues log in relation to reception and meetings rooms, channel to appropriate areas to resolve as required. Weekly reporting of outstanding issues to Lead EA.
  • Manage the reception desk email inbox resolving or channeling issues as required.
  • Manage the meeting room diary and scheduling conflicts where necessary. Collate meeting rooms requirements ensuring needs are meet.
  • Support the EA’s with admin duties, diary and expense management as required.
  • Carry out additional duties as assigned.
  • Escalate on-going concerns to Lead EA or Head of HR.

Skills, Knowledge & Experience

  • Excellent computer skills in Microsoft Office Suite including Word, Excel and Outlook.
  • Good interpersonal and communication skills.
  • Excellent attention to detail and organisational skills.
  • Multitasking and time-management skills, with the ability to prioritise tasks.
  • Collaborative and proactive.
  • Appropriate knowledge of all relevant regulatory and legal requirements applicable to the position.
